How to create an invoice for free (what to include + template)

Everything a professional invoice needs — invoice number, dates, line items, payment terms — and how to create and send one for free.

What every invoice must include

Missing details are the most common reason clients pay late. Include all of these every time:

  • Your name or business name and contact details
  • The client's name and company
  • A unique invoice number (e.g. INV-0012)
  • Issue date and due date
  • Each service or product with quantity and price
  • Subtotal, tax (if any) and total
  • How to pay: bank account, wallet or payment link

Set clear payment terms

Write the due date as a date, not just 'Net 15'. State late-payment terms politely if you use them. Agree terms with the client before you start the work.
